Privacy Policy

YJY Solutions, trading as Snag Assistant ("we", "us", "our"), is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and your rights under the Protection of Personal Information Act (POPIA) of South Africa and the General Data Protection Regulation (GDPR) where applicable.

We are the responsible party (data controller) for personal information processed through snagassistant.com and the Snag Assistant Telegram bot.

2. What data we collect

2.1 Account and identity data

  • Full name and email address (provided during signup)
  • Company name and physical address
  • Telegram user ID and username (linked during onboarding)
  • Company logo (uploaded during signup)

2.2 Inspection and report data

  • Property addresses submitted during inspections
  • Snag descriptions (typed text and voice transcriptions)
  • Photographs submitted during inspections
  • Generated PDF reports
  • Location tags (room/area labels)

2.3 Payment data

  • Subscription plan and billing history
  • Payment status (we do not store card numbers — payments are processed by PayFast and Paddle)

2.4 Usage data

  • Log data including IP addresses, access times, and pages visited
  • Report generation events and feature usage patterns

2.5 Voice data

Voice notes are transmitted to Groq (our voice transcription provider) for processing. The resulting text transcription is stored. Original audio files are not retained by us after transcription.

4. Who we share data with

We do not sell your personal data. We share data only with service providers necessary to operate the Service:

  • Groq — voice transcription (audio processed, not stored)
  • Brevo — transactional email delivery
  • PayFast — payment processing for South African customers
  • Paddle — payment processing for international customers
  • Telegram — bot interface and message delivery

All providers are contractually bound to process your data only as instructed and in accordance with applicable privacy laws.

5. Data storage and security

Your data is stored on servers located in the United States. We implement industry-standard security measures including:

  • TLS encryption for all data in transit
  • Encrypted database connections
  • Role-based access controls
  • Regular automated backups
  • Restricted server access with key-based authentication

6. Data retention

  • Active accounts: data retained while subscription is active
  • Cancelled or expired trial accounts: data retained for 90 days, then permanently deleted
  • Payment records: retained for 7 years as required by South African tax law
  • Audit logs: retained for 12 months

7. Your rights

Under POPIA and GDPR (where applicable), you have the right to:

  • Access — request a copy of your personal data
  • Correction — request correction of inaccurate data
  • Deletion — request deletion of your data (subject to legal retention requirements)
  • Portability — receive your data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interest
  • Restriction — request restriction of processing in certain circumstances

8. Cookies

Our website uses only essential cookies required for the signup form and session management. We do not use tracking, advertising, or analytics cookies.

9. Children

The Service is not directed at children under 18. We do not knowingly collect personal information from children.

10. International transfers

Your data may be processed outside South Africa by our service providers (including Groq in the USA and Brevo in the EU). Where data is transferred outside South Africa, we ensure appropriate safeguards are in place in accordance with POPIA.

11. Changes to this policy

We may update this policy from time to time. We will notify you of material changes by email. The current version is always available at snagassistant.com/privacy.
